Using Shipping Manifests

A shipping manifest is a document that lists all packages handed off to a carrier during a single pickup. This daily summary helps streamline operations for:

Shipping manifests can be used for LTL and Small Parcel shipments. While some small parcel carriers require a manifest, you can enable manifests for all carriers to benefit from a more consistent shipping workflow and gain greater control over when ASNs are sent to channels.

Enabling Small Parcel Shipping Manifests

Choose which small parcel shipments should use shipping manifests. You can enable manifests based on either the store or the carrier, depending on channel or carrier requirements.

Enabling by Store

Enable small parcel shipping manifests for all orders from a specific store. This is recommended for channels that require the ASN to be sent only after the shipment has been picked up. Follow these steps:

  1. From the left sidebar, go to Directory › Stores, and open the store.
  2. On the Settings card, click the pencil icon to edit.
  3. Under Small Parcel Shipping Manifests, select Always.

Enabling by Carrier

Enable small parcel shipping manifests for all shipments made from a specific carrier account. This is recommended for carriers that prefer to receive a manifest at the time of pickup. Follow these steps:

  1. From the left sidebar, go to Directory › Shipping Carriers, and open the carrier.
  2. On the Settings card, click the pencil icon to edit.
  3. Check Use Shipping Manifests.

Creating a Shipping Manifest

When shipping manifests are not used, packing an order and generating a small parcel label immediately sets the order status to Shipped. Shipping manifests introduce an additional step. After an order is packed, its status updates to Ready for Pickup, indicating it’s ready to be added to a shipping manifest.

To create a shipping manifest, follow these steps:

  1. From the left sidebar, go to Orders › Shipping Manifests.
  2. In the upper-right corner, click New Shipping Manifest.
  3. In the top section, apply the required filters to identify all shipments that can be included in a single manifest:
    • Warehouse - Select the warehouse where the shipments will be picked up.
    • Carrier - Select the pickup carrier.
    • Account - For small parcel shipments, select a shipping carrier account.
    • SCAC - For LTL shipments, select the trucking company SCAC code.
  4. Optional. Use the Time filter to narrow down shipments by ship-date, such as today or yesterday.
  5. Optional. Apply additional filters to further refine the list of shipments.
  6. Select individual shipments or click Select All to include all filtered results.
  7. In the upper-right corner, click Save to create the manifest.

Once saved, the manifest can be printed and handed off to the carrier at pickup. Click the document icon at the top of the page, then select Print Shipping Manifest.

Completing a Shipping Manifest

When the carrier arrives to pick up the shipments, mark the manifest as Shipped. This updates the status of all orders in the manifest to Shipped. If not already sent, the ASN is automatically triggered at this stage.

To complete a manifest, follow these steps:

  1. From the left sidebar, go to Orders › Shipping Manifests, and open the manifest.
  2. Click Mark as Shipped.
  3. For LTL shipments, enter the BOL and PRO numbers if they're missing on the orders.
  4. Click Mark as Shipped again to confirm.
